Knowledge Search is your all-in-one search engine for everything in your connected apps—across Gmail, Google Drive, Notion, and Google Calendar.
It’s smarter and more powerful than a typical search: instead of checking one app at a time, Knowledge Search scans all your connected sources together, and returns the most relevant results from across your digital workspace.

Why use Knowledge Search?

  • Unified search: Get results from Gmail, Drive, Calendar, and Notion in a single search—no more app-hopping.
  • Context-aware: Search queries can include details like sender, date, file type, or meeting topic for more precise results.
  • Smart ranking: The AI finds and highlights the most relevant emails, documents, or calendar events for your question.
  • Saves time: Instantly surface information buried deep in your work apps without endless scrolling or opening multiple tabs.
  • Prioritized: Knowledge Search is always the first tool used for any query involving your data or connected accounts.

How Knowledge Search works

  1. When you ask a question that involves your emails, files, notes, or events, the system checks which knowledge apps (Gmail, Drive, Notion, Calendar) you’ve connected.
  2. If at least one app is connected, Knowledge Search will automatically search across all available apps for the most relevant matches.
  3. The tool can handle complex queries, such as:
    • “Find all Google Docs about quarterly planning from last year”
    • “Search for emails from John Smith in my Gmail with attachments about the new product launch”
    • “Show my calendar meetings related to ‘AI Conference’ in June”
    • “Locate notes in Notion tagged as ‘urgent’ or ‘project kickoff’”
  4. Results are shown in a clear, unified summary, grouped by app, with clickable links and context (e.g., subject, date, sender, file path).
  5. If no knowledge apps are connected, you’ll be prompted to connect at least one—otherwise, Knowledge Search can’t run.

Supported Apps

You can connect any combination of the following for full-coverage search:
  • Gmail
  • Google Drive
  • Google Calendar
  • Notion
You don’t need to connect all—even one is enough to enable Knowledge Search. The more you connect, the broader and deeper your results.
  • Just ask your question as you would to a colleague.
No special formatting needed. The more details you give (“from last month”, “shared by Alice”, “related to project X”), the better the results.
  • You can specify the app in your request if you want to narrow the search (“only in Notion” or “just my Gmail”).
  • The system will always use Knowledge Search first for questions involving your connected data.
If nothing relevant is found, it will automatically fall back to AI Search for general web results.

Search Hierarchy

  • 1. Knowledge Search:
Used for all questions about your own connected data, files, messages, or events.
  • 2. AI Search:
Used only if Knowledge Search finds nothing, or if your question isn’t about your own data.

What’s included in your results?

  • Emails: Subject, sender, date, and snippet
  • Files: Title, type, location, and preview
  • Calendar: Event title, date, attendees, and details
  • Notion: Note title, tags, workspace, and excerpt
Results are presented in a unified, easy-to-read format, with direct links to open any item in its native app.

Tips for best results

  • The more context you provide (“last year”, “shared by X”, “tagged urgent”), the more precise the search.
  • If you haven’t connected an app yet, you’ll be prompted to do so—just follow the on-screen steps.
  • To broaden your search, connect more apps under Integrations.

Troubleshooting

  • No results found: Try expanding your search terms, double-check app connections, or remove restrictive filters.
  • Missing data: Make sure you’ve authorized Reasoning Stack to access the app and data you want to search.
  • Not seeing the right results? Add more context or specify the app to narrow down.

Security & Privacy

  • Only data from your explicitly connected apps is ever searched.
  • All searches are performed securely—no data is shared with third parties, and nothing is accessed without your permission.
